WorkAgents AI Outreach (https://outreach.workagentsai.com/) is AI outreach automation software for B2B cold email. It automates the repetitive work of a sales development rep — prospect research, personalized email writing, follow-up scheduling and reply triage — while keeping a human in the loop for approval. It is one of three products on the WorkAgents AI platform (https://workagentsai.com/), alongside Quote AI (RFQ-to-quote automation) and Agentic ERP.

## What is AI outreach automation?

AI outreach automation is software that uses artificial intelligence to run the repetitive parts of cold email prospecting: researching each lead, writing a personalized first email, scheduling follow-ups, and detecting replies. Instead of a rep spending fifteen minutes per prospect reading a company's website and drafting a message, the AI does the research and drafting in seconds, and the human reviews and approves before anything sends. The result scales like automation but reads like it was written by a person — because a person still signs off.

## The pipeline

1. **Import leads** — upload a CSV (email required; company, name, role, website improve research), sync from HubSpot, Zoho or Salesforce, or let Lead Finder discover companies matching your ICP with verified business contacts. Duplicates and role-based addresses are flagged.
2. **AI research** — the system reads each prospect's company, role and public signals to find a genuine reason to reach out.
3. **Personalized drafts** — the Email Writer produces a distinct email per prospect using an observation → problem → value structure at a grade-7 reading level. No two prospects get the same message.
4. **Human approval** — every campaign waits in an approval queue by default. Trusted sequences can be set to auto-send.
5. **Drip send** — approved emails go out on a schedule within warm-up limits: roughly 20 emails per mailbox per day for new inboxes, ramping as reputation builds. Send windows respect prospect timezones.
6. **Follow-ups** — default sequence follows up on day 3, day 7 and day 14, with an optional break-up email. Each follow-up takes a fresh angle rather than bumping the thread.
7. **Reply detection** — the moment a prospect replies, the sequence stops for them. Reply AI classifies the response (interested / not now / objection / out-of-office), drafts an answer for approval, and offers calendar slots to interested leads.

## Deliverability

- SPF, DKIM and (recommended) DMARC are validated during onboarding; the app shows exactly which DNS record is missing.
- Every draft passes a spam-and-deliverability checker: trigger words, caps, link count, reading level.
- Automatic warm-up for new mailboxes; mailbox rotation spreads volume across connected inboxes.
- Common practice: send from a secondary domain with 2–5 rotated mailboxes to protect the primary domain.

## Integrations

Gmail / Google Workspace and Outlook / Microsoft 365 via OAuth (no stored passwords). Two-way CRM sync with HubSpot, Zoho and Salesforce. Native handoff to WorkAgents Agentic ERP. ## FAQ

**Will my domain get flagged as spam?** Drafts pass a spam checker before send; new mailboxes warm up at ~20 emails/day; rotation spreads volume; SPF/DKIM setup is guided during onboarding.

**Do I approve emails before they send?** Yes, by default — per-campaign approval, with optional auto-send for trusted sequences.

**Which mailboxes are supported?** Gmail / Google Workspace and Outlook / Microsoft 365 via OAuth.

**How is this different from mail-merge?** Mail-merge fills variables into one template; AI Outreach researches each prospect and writes a distinct email per person, including distinct follow-up angles.
